Title: Program Coordinator

Type of position: Full time Exempt

Duty starts: October 2018 (3 months renewable contract)

Report to: Director of Study Abroad

Duty Locations: Remotely (Must be based in Morocco)

Job Responsibilities

Administrative and Office

  • Respond to emails promptly
  • Answer phone calls and return messages promptly
  • Keep a to-do list and keep ahead of tasks. Share task list with others so we are all on the same page
  • Communicate only over approved methods
  • Respond to perspective client’s initial message via our online system within 24 hours
  • Respond to all later messages with clients in no more than 48 hours
  • Arrange transportation, accommodation, tour guides, meals, activities, and all other planned portions of client’s itineraries
  • Ensure everything is correct and treat it like your own business
  • Continually cross-reference to ensure a 0% chance of mistakes
  • Complete all documentation that is to be sent to the client pertaining to all aspects of their trip
  • Compile client’s information in an organized way that is easily understandable by all staff
  • Maintain company files by organizing and updating continually
  • Research potential business connections and partners
  • Work on deals and partnerships to reduce costs for travelers (e.g. commission rates, travel company discounts)
  • Retain all receipts and documentation and file accordingly (insurance info, contracts, business trips costs, etc.)
  • Write template itineraries, day trips, and activities to be used on our online system
  • Create new systems to make duties more efficient and share ideas with the team.  Be creative!
  • Write in an understandable and professional manner
  • Work closely with the Program Assistant, and all other staff members
  • Submit your weekly time sheet by Sunday night every week
  • Other duties as assigned

In the Field

  • Be available 24×7 for emergencies when clients are in-country
  • Build personal relationships with business connections and partners
  • When traveling, use inexpensive means of transportation
  • When traveling, stay in reasonably-priced accommodations pending approval
  • Handle paying vendors and business partners in a professional and responsible manner
  • Be mindful and careful when carrying company money.  Treat it like your own money!

Working with Clients

  • Be kind and mindful of personal preferences and beliefs
  • Always respond with attention and hospitality
  • Remain patient with all clients
  • Ensure the client feels comfortable with their decisions and desires
  • Ensure accuracy and understanding by asking questions and giving feedback
  • Call / schedule calls with each client to make a personal connection and discuss their options
  • Create itineraries based on the client’s preferences
  • Be creative with itineraries, and expressive with your explanations
  • Organize personal, special gifts for each client to receive on their trip

Personal Conduct

  • Maintain a professional attitude when interacting with other staff
  • Act in a professional manner when representing the company
  • Ask questions when unsure of anything.  Don’t hesitate, just ask!
  • Provide honest feedback when asked.  We can only grow when we deal with difficult situations!
  • Ask for help or guidance whenever needed

Qualifications

  • Fluent in English (reading, writing, speaking),  Moroccan Arabic is preferred but not required 
  • Availability to work 40 hours per week, including weekends and holidays
  • Availability to travel across the country when needed
  • Experienced in working with international travel
  • Experience with diverse cultures
  • Knowledge of Morocco and Moroccan culture
  • An understanding of business practices in Morocco (able to look out for bad business practices)
  • Multitask in an organized and understandable way
  • Detail orientated with a passion for order
  • Ability to work with little supervision, a self-starter
  • Ability to take the lead in handling inquires and building the business
  • Comfortable following up and taking the lead of a situation
  • Confident in using Google Suite
